Turn messy notes into a to-do list

Messy notes fail because they are not a list yet. Free Copilot can sort them into tasks without inventing deadlines. You delete what you do not recognize, then you put the rest where you will see it.

If a button name on the screen does not match this guide, follow the action. These products rename buttons often.

Steps

  1. Gather the notes in one place

A meeting scribble, a voice-memo you already typed, or a thread of texts you copied. You do not need full sentences. Leave out anything private that the list does not need, such as a password or a medical detail.

  2. Open Copilot

Go to copilot.microsoft.com. The page may open as copilot.com. That is the same free chat. You can try it without an account. Signing in with a free Microsoft account keeps the conversation so you can scroll back. The free chat has usage limits and can ask you to wait when it is busy.

  3. Ask for a list that stays inside your notes

Paste the notes under the prompt.

    Prompt to paste

Turn these notes into a checklist.

    Rules:
    - One task per line.
    - Include an owner only if the notes name one.
    - Include a date only if the notes state one. Do not guess a deadline.
    - If a line might be a task but it is unclear, put it under "Not sure".
    - Do not add tasks I did not write.

    Notes:
    [paste them here]

  4. Delete anything you do not recognize

Read the checklist once. If a task feels new, it probably is. Delete it or move it to “Not sure.” Copilot is helpful and also eager. Your notes win.

  5. Copy the keepers into the list you actually use

Paste them into Apple Notes, Google Keep, a paper planner, or the task app you already open. Leaving the list inside the chat means you will not see it on Thursday.

Tips

  • If the notes are from a recording, transcribe them first. Copilot’s free chat is for the text you paste here, not a substitute for the transcription guide.

  • Say what “done” means when the notes are vague. Add a line to the prompt: “Write tasks a person could finish in one sitting.”

  • ChatGPT and Claude follow this same prompt. Use whichever free account you already have.

  • A to-do list is not a promise to other people. If a task belongs to someone else, confirm it with them before you assign it in a shared doc.

Common questions

Do I have to pay for Microsoft 365?

No. The chat at copilot.microsoft.com has a free version, with limits. Microsoft 365 adds Copilot inside Word and Outlook. You do not need that for a pasted list.

It turned a comment into a task.

Tell it: “The sentence about the parking lot was a complaint, not a task. Remove it.” Then glance at the rest for the same mistake.

Can it email the list to my team?

Not in this guide. Copy the list yourself. Sending it is a separate decision, and the free chat should not have access to your mailbox for this.

The notes are in two languages.

Paste them as they are and add “Keep each task in the language it was written in.” Mixing a translation into a task list hides what was actually said.
