Write a clear email

A blank email is hard because you are trying to be polite and clear at the same time. Claude’s free chat will draft it from the facts you provide. You still decide what gets sent.

Steps

  1. Write down the facts before you open the chat

One or two lines is enough. Who they are to you, what you are asking, and the detail that must stay true. If you do not know a date, leave it blank. Do not ask the chat to invent a reason you were late.

  2. Open Claude

Go to claude.ai and start a new chat. The free plan works for this. You are only writing a draft. Claude does not send email unless you connect extra tools, and you should not connect your mailbox for a first try.

  3. Paste a prompt that includes your facts

Replace the brackets. Delete any line you do not need.

    Prompt to paste

Write a short email for me.

    Who it's to: [my landlord]
My relationship to them: [I rent an apartment]
What I need: [to ask if I can pay rent two days late this month]
Facts that must stay exact: [I will pay on Friday. This is the first time I have asked.]
    Tone: polite and direct
    Length: under 120 words

Do not invent reasons, apologies, or details I did not give you. Do not add a phone number. Use a blank line between short paragraphs. Put the subject line first.

  4. Read it out loud

Check the name, the date, and the amount. If a sentence promises something you did not mean, delete it. If the tone sounds like a lawyer and you wanted a neighbor, say so and ask for a simpler version.

  5. Ask for one change, not a new personality

A useful follow-up is specific: “Make the second paragraph one sentence” or “I do not want to mention Friday. Take that out.” Avoid “make it better,” which invites new facts.

  6. Copy it into your email app and send it yourself

Paste the subject and the body into Gmail, Outlook, or whatever you already use. Read the To line before you send. The chat cannot see if you typed the wrong address.

Tips

  • Give the relationship. “My son’s teacher” and “a company I have never bought from” should not sound the same.

  • If you are angry, say that in the prompt (“I am frustrated, but I want the email to stay calm”). Do not ask it to threaten anyone.

  • The free plan’s message limit resets about every five hours and varies with demand. One email is a small task.

  • ChatGPT can draft the same email if you already use it. The rule is the same: you supply the facts, and you press send.

Common questions

Can Claude send the email for me?

Not in the steps above, and you should not hand it your inbox for this. Copy the draft into your own email app so you can see the address and the attachments.

It added an apology I do not mean.

Delete that sentence, or reply: “Remove every apology. I did not do anything wrong. Keep the request.”

The email is for a job or a landlord. Is a draft safe?

A draft is fine. Do not paste your Social Security number, your bank details, or a password into the chat. Those do not belong in the email either.

It sounds nothing like me.

Paste one sentence you actually wrote, and say “match this plainness.” Short and a bit plain is usually better than a polished email you would not say out loud.
