A blunt draft is often clearer than the polite version that follows it. Free ChatGPT can soften the wording without changing the decision, if you tell it which facts have to stay.

## What you need

- A free ChatGPT account
- The draft you already wrote, even if it is too sharp
- Who will read it, in a few words

## Steps

### 1. Save your original

Keep your first draft in your notes. You may want one sentence from it. Do not include insults you would be ashamed to have stored in a chat. Soften those yourself before you paste, or delete them.

### 2. Open a new ChatGPT chat

Go to [ChatGPT](https://chatgpt.com). The free plan is enough. This is a rewrite, not a file upload.

### 3. Ask for kinder, not different

Paste the draft under the prompt.

Prompt:

```
Rewrite this message so it is kinder and still clear.
Who will read it: [a coworker I like]
What must stay: [the Friday deadline, and that I cannot take the extra shift]
Tone: warm and direct
Do not add an apology for something I did not do.
Do not add a reason I did not write.
Do not make me agree to extra work.
Keep it about the same length.
My draft:
[paste it here]
```

### 4. Compare the two, sentence by sentence

If the new version drops the deadline or agrees to the shift, it failed. Put that fact back in your own words. Kind is not the same as vague.

### 5. Send the version you can stand behind

Copy it into the text, email, or chat where the person will read it. If you would not say it in the room with them, do not send it.

## Tips

- Tell the chat the relationship. A kinder note to your boss and a kinder note to your sister are not the same.
- If you were wrong, say so in the prompt. “I forgot the attachment. An apology for that is fine. Do not apologize for asking the question.”
- Claude is especially steady at this. The same prompt works there if you prefer it.
- Do not use this to hide a decision. “No” can be polite and still be no.

## FAQ

### It made me sound like I changed my mind.

Point at the sentence and say: “I am still saying no. Rewrite that sentence so the no is obvious and the tone is calm.”

### Can I paste a whole angry thread?

Paste your next message, not the other person’s private texts, unless you are comfortable sharing them. One draft is enough.

### The kind version is too long.

Reply: “Cut this to four lines. Keep the no and the date.”

### Should I tell them I used AI?

You do not have to. You do have to mean the words. If the rewrite is not what you think, send your own shorter note instead.
